Job Title: Executive Assistant to CEO & Office Coordinator

River House Artists is a boutique Nashville-based label and publishing company, home to a growing roster of chart-topping artists and respected songwriters. As a close-knit team, we prioritize collaboration, integrity, and creative innovation. Our CEO plays an integral role in the company’s day-to-day operations, and the Executive Assistant is essential in supporting their leadership and helping ensure the company runs smoothly.

In this highly visible role, you’ll be the right hand to the Owner & CEO, providing daily administrative, organizational, and operational support. You’ll manage a dynamic schedule, help coordinate major initiatives, and be trusted with sensitive information, all while helping keep our office humming and our team focused.
 
Here you’ll get to:
  • Serve as the primary point of contact for all matters involving the CEO, both internal and external.
  • Manage the CEO’s complex calendar, including scheduling, confirming, and coordinating meetings and appointments.
  • Proactively anticipate needs, prepare daily agendas for following day, and ensure the CEO is briefed and ready for all meetings.
  • Take detailed meeting minutes for roster meetings and distribute actionable recaps.
  • Draft and manage daily correspondence on behalf of the CEO.
  • Assist in the planning and execution of internal events, artist meetings, and long-term company projects/trips.
  • Coordinate travel arrangements for the CEO, and sometimes for staff and artists, including flights, hotels, and transportation.
  • Submit all receipts and expenses for the CEO.
  • Attend artist meetings on behalf of the CEO for internal use.
  • Keep the office running smoothly - assist with restocking supplies, managing office orders, coordinating furniture purchases, and occasional kitchen duties.
  • Receive, sort, and distribute all incoming physical mail.
  • Act as liaison with IT to resolve technical issues and maintain office systems.
  • Greet and welcome visitors, ensuring a professional and friendly first impression.
 
About you:
  • You have 2+ years of experience supporting high-level executives, preferably in a fast-paced or creative industry.
  • You’re hyper-organized, detail-oriented, and can juggle multiple tasks without breaking a sweat.
  • You’re a proactive problem-solver who thrives on anticipating needs and staying several steps ahead.
  • You maintain the highest level of discretion when handling confidential matters.
  • You have professional communication skills and can represent the CEO and company with poise and tact.
  • You’re based in Nashville with reliable transportation and are open to occasional after-hours events or errands.
  • You’re tech-savvy and confident using Microsoft Office (Word, Excel, Outlook), Zoom, and Teams.
  • You have a strong sense of initiative and ownership over your work.
  • You’re flexible, adaptable, and enjoy being part of a small, dynamic team.
 
It would be music to our ears if you also had:
  • Prior experience in the music or entertainment industry.
  • Familiarity with artist management, creative workflows, or label operations.
